Kaltura Video Recording Retention Policy and Recommendation
How Long are Videos Retained?
Kaltura videos remain accessible for a minimum of 18 months. If a Kaltura video remains unviewed throughout this timeframe, it is flagged for deletion. One month prior to potential deletion, the video owner receives an email notification. They have the option to request preservation beyond the 18-month threshold. If no such request is made, the video is automatically deleted at the conclusion of the 30-day window following the 18-month mark.
What Happens When a Video Is Deleted?
When a user deletes a video from their Kaltura media library, the deletion is permanent and irreversible. This applies to all users - students, faculty, and staff alike. Once deleted, the video cannot be recovered.
Canvas Submissions vs. Kaltura Media
While Canvas assignment submissions are permanent and cannot be deleted or altered by instructors or Canvas admins, the Kaltura media file itself remains under the control of the user who created it. This means:
- A student can delete a Kaltura video from their media library even after submitting it to a Canvas assignment.
- If the video is deleted, it cannot be retrieved, even if it was part of a graded submission.
Recommendation for Students
To support academic integrity and ensure access in the event of a grade dispute, students are strongly encouraged to retain submitted Kaltura videos in their My Media for at least 60 days after the course concludes and their final grade is posted on their student transcript.
